New Feature – Workflow & Task Management based upon lead assignment

What’s the number one thing a sales manager wants to know about a new lead?  The answer – has it been assigned.

Think about it.  When leads come in if they aren’t assigned they can’t be followed up.  A sales manager needs to know a lead has been assigned before they can start asking the sales rep for updates on the lead status.

Now, LeadMaster has workflow automation & task management that operate on lead assignment.

This enhancement adds the ability to use group, account manager, partner and partner rep assignment as part of the condition for a workflow process or task completion.

1. Group – operators include “=” or “<>” and value is a specific group

2. Account manager – operators include “=” or “<>” or “Was Assigned” and value is a specific account manager (if operator was “=” or “<>”)

3. Partner – operators include “=” or “<>” and value is a specific partner

4. Partner rep – operators include “=” or “<>” or “Was Assigned” and value is a specific partner rep (if operator was “=” or “<>”)

Here are some examples.  If a new lead does not equal ‘Was Assigned’ send an email to the sales manager.  Or you can add a task to that (tasks are time based workflows) and say if a lead does not equal ‘Was Assigned’ within 5 minutes send an email to the sales manager.

This is a terrific enhancement to the business rules and one that many sales managers will find very useful.  Just another way LeadMaster is helping companies stay on top of the business and maximizing their ROI in LeadMaster.

Improved Feature – Handling of Bad Email Addresses

LeadMaster has improved the way it handles bad email addresses.  Before explaining the updates let’s do a quick review.

There are two types of email bounces – hard & soft.  A hard bounce indicates the email address doesn’t exist.  A soft bounce indicates there was a failure delivering the email.  The cause may have been a full mailbox, email server was offline etc.

When sending E-marketing messages it is best practice to mark hard bounces as having a bad email address.  Mail servers may block all mail from you if you repeatedly send mail to a bad address on their domain.

LeadMaster’s email marketing feature allows you to easily send e-marketing messages.  This is great for communicating with prospects and customers.  However, you need to make sure you aren’t sending email to an address that has already bounced.  LeadMaster helps you manage your bounced emails.

Bounce Management is built-in to the email marketing component of the LeadMaster Lead Management / Opportunity Management / CRM system.  That means you can manage bounces anytime you send emails from LeadMaster.  To access the Bounce Manager click on Administration in the top navigation bar, then click on ‘Bounced Email Addresses’.

The following updates have been made to the handing of bad email addresses:

1. ‘Administration’ / ‘Bounced Email Addresses’ – clarified the capability to mark an email address as bad.

2. LeadMaster won’t send email messages to an email address that you’ve marked as bad.

  • The following LeadMaster email functions will not send an email message to a contact with an email address that has been marked as bad.
    • ‘Search Results’ / ‘Options’ / ‘Send Email’
    • ‘Accounts’ / ‘Options’ / ‘Send Email’
    • ‘Contact Search Results’ / ‘Options’ / ‘Send Email’
    • Contacts’ / ‘Options’ / ‘Send Email’
    • ‘E-Marketing’ / ‘Launch An Email Campaign’

3. Indication of a contact with a bad email address – the ‘Contacts’ section of the ‘Sales Update’, ‘View Profile’ and ‘Edit Profile’ pages indicate if an email address has been marked as bad by highlighting the email address in red:

4. Searching for contacts with bad email addresses – the ‘Search Contacts’ page now includes an option for searching for contacts with bad email addresses:

New Feature – Report Subscriptions

LeadMaster now provides the ability to subscribe to custom reports.

Here’s a quick overview of report subscriptions:

1. A report subscription can be delivered daily, weekly or monthly. When delivered weekly, the report is delivered on Monday. When delivered monthly, the report is delivered on the first day of the month.

2. A report subscription is delivered via email in one of the following ways:

  • As an attachment to the email message
  • As a link in the body of the email message
  • In the body of the email message

In order to receive a report subscription, the subscriber must have an email address in User Settings.

1. From the ‘Reports’ page, click ‘Report Subscriptions’ to display the list of subscriptions for the user.

Please note the following options:

a. Click ‘Add Subscription’ to add a subscription to a custom report.

b. Click ‘edit’ to edit the associated report subscription

c. Click ‘delete’ to delete the associated report subscription

d. Click ‘suspend’ to suspend delivery of the associated report subscription

e. Click ‘resume’ to resume delivery of the associated report subscription

Please note the following:

a. The only reports available to subscribe to are custom reports (public or user) that have been added / edited via the ‘Report Wizard’. Only new reports will show up in this list.  Existing custom reports must be updated via the report wizard to appear in this list.

b. The ‘Filter Data for the Report’ option is available only for editing existing report subscriptions (it does not show as an option when adding a new report subscription) and allows the user to filter the data delivered with the report subscription. In the example above, only leads that were entered in the last 7 days will display in the report when it is emailed to the subscriber.

c. There are 3 options for the timing of the delivery of the report – Day, Week and Month.

d. There are three options for the method of delivery of the report – as a link in the email message, as an attachment to the email message and in the body of the email message.

e. Report subscriptions are delivered in the morning starting around 1AM eastern time.

New Feature – Search Range for Probability & Lead Value

When searching through opportunities our customers have indicated they’d like to be able to find all the opportunities with a lead value greater than, less than, between or those with no value.  The same is true for the probability.

The search engine has been enhanced to allow searching a range of values for these fields.

New Feature – Suspend Automation

With the release of the task manager LeadMaster provided a very powerful tool for managing workflows and automating tasks.  With the ‘repeat’ function it also provided the ability to create runaway tasks that would send endless reminders, updates, texts, emails, assignments, etc.

As a result we’ve created a new feature – ‘Suspend / Resume Automation and Workflow Processes’.

When suspended, the condition for a workflow process is not evaluated and subsequently, no actions associated with that workflow process are triggered.

New Feature – Google Calendar Sync & Repeating Events

LeadMaster users have a new feature available as of today – Google Calendar Synchronization and Repeating Events.

To enable the ‘Sync with Google Calendar’ option simply enter your Google calendar username and password on the ‘User Settings’ page.  Click on User settings from the main menu,  then click on Calendar and Callbacks, enter your information and click submit.  That’s it.  You are all set.  Now your LeadMaster calendar will sync with your Google calendar.  Could it be any easier?

As part of this upgrade there is a new way of entering the date and time for the callback event.  Our studies indicate this new interface is easier and faster to enter your callbacks and appointments, saving you time.  The new section is highlighted below with a black rectangle.

You’ll notice there’s a new checkbox to ‘Sync with Google Calendar’.  Once checked, this will remain checked until you un-check it for all of your new callbacks, events and appointments.

Events can be repeated

  • Daily, Weekly, Monthly, Yearly
  • On a specific day of the week
  • With a specific end date, after so many occurrences or never

This is a great productivity enhancement for me personally.  The Google calendar integration gives me the ability to sync my LeadMaster calendar with the calendar on my phone and on my desktop.
