New Feature – Restricting Access to the LeadMaster Hierarchy

This new feature restricts what an administrator user sees in the hierarchy according to the internal settings in Logon Management.  Suppose that you have 3 regions in the US and you want to make sure that one region can’t see who is working in the other regions.  Normally an administrator would be able to see all the records in the system.  However, using internal settings allows you to restrict administrator access to both the records and the hierarchy.
Previously the Group / Partner access settings in the Logon Management / Internal settings would restrict the user’s view to the records assigned to specific Group/AM/PR/PReps, but not the view of the hierarchy itself.  Here’s how it works.
Under internal settings – Select Region(s) Only
  • Search Engine dropdown displays only the Region(s)  that were selected
  • Search Engine dropdown displays all Acct Manager(s) that are associated with the Region(s)
  • Search Engine dropdown displays all Partners AND Partner Reps
  • Assignment dropdown would show only the Acct Manager(s) associated with the selected Region(s) + All  Partner Reps
Under internal setting – Select a Region(s) AND Partner(s)            
  • Search engine display only the Region(s) that were selected
  • Search Engine displays only the Acct Manager(s) that are associated with the Region(s)
  • Search Engine displays only the Partner(s) that were selected
  • Search Engine displays only the Partner Rep(s) that are associated with the Partner(s) that were selected
  • Assignment drop down shows only Acct Manager(s that are associate the selected Region(s) +only Partner Reps that are tied to the Partner(s)

  • Search engine dropdown displays only the Region(s) that are associated with the Acct Rep(s)

  • Assignment dropdown would display all Acct Manager(s)  + Only the associated Partner Reps
  • Under internal setting – Select  Acct Manager(s)  Only
  • Search engine dropdown display only the selected Acct Manager(s) and their associated Regions
  • Search Engine displays all Partner(s) and Partner rep(s)
  • Assignment drop down shows only selected Acct Manager(s) and All Partner Reps
For example, here’s the Group / Partner Access section for the Internal Settings in Logon Management.  You’ll notice that I’ve made a selection in each of the 4 areas – Group/AM/PR/PReps

Andy is part of the LM CRM Consultants so the system will restrict this admin user to seeing just the Group = LM CRM Consultants and the Account Manager = Andy Brownell.  Here’s what you’ll see from the search engine regarding the available Groups / Acct Mgrs.  If you select several account managers you’ll see just those account managers selected.  NOTE: If you select Andy Brownell as the Account Manager (a member of LM CRM Consultants) and in the Group you select LM Europe – you will not see any of the Account Managers for LM Europe because the Account Manager select overrides the the Group selection and you will be restricted to the Group = LM CRM Consultants.  The choice between Group & Account Manager is an OR, so is the choice between Partner and Partner Rep.

For the Partner / Partner rep we’ve selected:
  • Partner = LRP 121 and
  • Partner Rep = Vaugh Armstrong (a member of LRP92)
In this case the Partner Rep selection will override the Partner selection.  In the Partner area the user will only see LRP92.

So what will this user see?  Only those records that are assigned to
  • Account Manager = Andy Brownell  AND
  • Partner Rep = Vaugh Armstrong (a member of LRP92)
If there is a record that is assigned to Account Manager = Andy Brownell but not assigned to Partner Rep = Vaughn Armstrong, this user will not see that record.
If you are a Group (or in this case Region) and you would like the option to assign to any ‘Partner’ regardless whether the record has been assigned or not, be sure to select ‘Records with No Assignment’ in addition to the Partners you’d like to assign to.

New Functionality – Additional Fields for Tracking Sales Opportunities

LeadMaster has added the following fields for opportunities:

  • 10 Text Fields
  • 10 Integer Fields
  • 10 Date Fields

These fields are initially disabled.  To use the new fields you’ll need access to Administration.  Click on Admin, then Customize Pages and then  Add / Edit Opportunity.  Click on the field you’d like to use, select either a custom label or the standard label, click Submit and the new label will show us when adding or editing opportunities.
