New Features – Using Gmail as an alternate email server

Back in November of 2010 LeadMaster introduced  the ability for customers to use their own email servers when sending email from LeadMaster.

We’ve received requests from customers who use Gmail as their primary email address to allow them to use Gmail as an alternate mail server.  Good news.  Now you can.  The configuration parameters are as follows:

SMTP Mail Server:
SMTP Port: 587
Use SMTP Authentication: checked
Username & Password: Valid Gmail account

Access to configuring the email server is a higher level security feature and isn’t available to end users, so please contact your LeadMaster representative and they’ll do the configuration for you.

With the release of the latest round of E-Marketing enhancements to the LeadMaster Lead Management / CRM application, some customers had requested the ability to use their own email server so that email is delivered from their domain instead of the LeadMaster domain.

This feature is now available in the administration section via the selection ‘Alternate Outgoing Email Server Settings’.

By default, all outbound email message sent from LeadMaster are sent via a LeadMaster email server. These messages include the following:

1. Individual email messages sent to a contact (from the “Sales Update”, “Edit Profile” and “View Profile” pages)

2. Bulk email messages sent from the “Search Results”, “Accounts” and “Contacts” pages

3. Email messages sent via the “E-Marketing” feature

4. Notification email messages sent as a result of assigning a lead or requesting an update to a lead or assigning a callback

5. Email messages sent as actions for workflow automation processes

To configure an alternate email server for sending outbound email messages from LeadMaster:

1. From ‘Administration’ / ‘Alternate Outgoing Email Server Settings’, configure the settings for the email server.

Please note:

a. The ‘Default “From Name”’ and ‘Default “From Address”’ fields are required but in most all cases overridden.

b. The ‘SMTP Mail Server’, ‘SMTP Port’, ‘Uses SMTP Authentication’, ‘Username’ and ‘Password’ field values depend on the requirements of the outbound email server.

c. Once configured, you can test the settings by sending an email message to yourself. Any errors reported by the test will be displayed.

d. The ‘Use this account for outgoing email messages’ field must be checked in order for LeadMaster to use the alternate email server for sending outbound email messages.

When an alternate outgoing email server is configured, LeadMaster will attempt to use that email server for sending email messages. If there is an error sending an outbound email message using the alternate outgoing email server, LeadMaster will default to using its own email server to send the email message. Any errors encountered using the alternate outbound email server will be logged.

New Feature – Admin can Delete Tasks for Others

There’s a new feature for the task manager.  Before I explain it, let me refresh your memory about the LeadMaster task manager.  The Task Manager provides a business rules feature for managing your sales process and leads. With task management integrated into ‘Automation and Workflow Management’, a task can be created and associated with a specific record and can be assigned to the group, account manager, partner or partner rep associated with the record.  Tasks are considered complete when a specific action has been completed.  Those actions can be based upon a variety of conditions such as – sales stage, lead status, campaign, lead value, forecast date, lead source, marketing mix, custom fields and more.

Task Management was designed so that only the Group and Partner had the ability to delete tasks.  This presented a problem for some users.  For example, Lead-Xpress users might not have logons for the Group or Partner.  How could they delete tasks?  To address this issue LeadMaster enhanced the application to allow an admin to delete tasks.

To display all of the current tasks, select the ‘Sales Team – Tasks Report’.  Under the options menu you’ll see a menuitem for deleting tasks.  Tasks can be deleted one at a time or you can select an entire page for deletion.

One final note, if you have tasks for a user and you delete that user from the hierarchy, the tasks will disappear also.

New Feature – Create Report Subscriptions for Others

About 2 years ago LeadMaster introduced a great feature that allows you to subscribe to custom reports.  The subscription is delivered either daily, weekly or monthly.  You can read the original blog post here.

Since that time customers have requested the ability to create report subscriptions for people besides themselves.  The most frequent request is for the administrator to create a report subscription for management.  Good news!  Now you can.

New Feature – Generic Softphone Integration

There are a wide variety of Softphones on the market today.  To help provide seamless integration with LeadMaster for click-to-call we have created a generic softphone module.

Many softphones have extensive features that require custom integration.   However, there are softphones available that simply want to see a phone number on the clipboard after the mouse is clicked on a phone number in the browser.  To address users of those softphones LeadMaster created the generic soft phone.

The Generic Provider option is available in ‘Manage Workgroups’ and when selected will be in effect for all users in your database.
