New Feature – Bounce Manager Sorts Soft Bounces

Whenever you send email from LeadMaster it records in the system whether or not that email was delivered.  If it wasn’t delivered it is marked as ‘bounced’.  There are two types of bounced emails – soft & hard.  A soft bounce means the email address is valid but for some reason (mailbox full, mail server down etc) this particular email couldn’t be delivered.  A hard bounce means the email address is invalid.

As a best practice you should always disable email addresses that have a hard bounce before launching another e-marketing campaign.  With soft bounces there is some flexibility in the number of bounces before disabling those email addresses.

With this new feature LeadMaster makes it easy to sort your soft bounces bringing those with the most bounces to the top so that you can easily disable those emails.

New Feature – E-Marketing

LeadMaster has a new menu item in the top navigation bar for E-Marketing.  Many of these features were previously available in LeadMaster email marketing but now they’ve been consolidated into one easy-to-use area.

To minimize disruption for customers the new E-Marketing menu isn’t automatically displayed.  To make the new menu item visible you’ll need to go into Administration / Customize Pages and enable the new menu item.  If you don’t have access to Customize Pages see your LeadMaster administrator.

Clicking on the new E-Marketing menus reveals an easy-to-use interface for accessing everything you need to create, send and report on email marketing campaigns.

The E-Marketing page is divided into 2 main sections.  The section on the left shows you the email messages you’ve already sent.  The section on the right provides access to sending emails, creating / managing email templates and reporting on previously sent email messages – these functions are also available from the menu buttons in the second navigation bar.

When you click on ‘Create an Email Message’ you’ll be taken to a page with a simple 6-step process.  In steps 1 & 2 you’ll select the recipients of the email message and specify the template (if any) you’d like to use.

In step 3 you specify the content of the email.  If you’ve decided to use a template then most of the work is probably already done for you and you just need to make minor modifications to the template to personalize it.  This is a full HTML editor so you can include images, videos, links, tables etc.

In steps 4, 5 & 6 you’ll enter your contact information, send yourself a test message if you want and finally give your message the name that will show up on the E-Marketing page for reporting purposes.

Once your email message is sent you can view the # of messages sent and the # of people that opened your message from the main E-marketing page.  This is also where you’ll access the E-Marketing reporting.

  • Opens & Clicks
  • Opens – Unopened
  • Opens Over Time
  • Clicks
  • Clicks Over Time
  • Opens By Time
  • Opens By Email Address

  • Opt-Outs

Please note.  Email marketing will need to be turned on before you’ll have access to it.

Good News! LeadMaster Email Marketing & Lead Nurturing Support Links to Custom Forms

Both Email Marketing and Lead Nurturing now include the ability to include links to custom forms.

This is a great way to bring the customer back into the conversation.

It’s also a useful tool for surveys.

The feedback on the form will flow directly into your LeadMaster account.

You can insert the following:

  1. A link to a blank custom form which will attach to the record
  2. A link to an existing custom form attached to the record
  3. A link to an existing custom form attached to the contact

If the contact doesn’t already have the custom form attached to their record it will be attached automatically at the contact level.

When the user clicks on the link it will open the custom form.  When the user clicks submit it will confirm it has received the data by responding with ‘Thank You’.

Email Marketing – Bounce Management – A Lead Management Best Practice

Bounce management is a lead management best practice.  There are two very good reasons to manage your bounced emails.

1) Mail servers may block all mail from you if you repeatedly send mail to a bad address on their domain.
2) For response tracking, you need to subtract out the bounces for an accurate report.

Bounce Management is built-in to the email marketing component of LeadMaster CRM.  That means you can manage bounces anytime you send emails from LeadMaster, examples include standard emails, HTML evites, newsletters, lead nurturing etc.

To access the Bounce Manager click on Administration in the top navigation bar, then click on ‘Bounced Email Addresses’.

This menu takes you to the Bounced Email Addresses page lists all bounced email addresses captured from bounced email messages sent from the workgroup.  Each record in the list contains the following:

  1. Name of the contact associated with the email address
  2. Email address
  3. Soft bounces – the number of soft bounces for this email address
  4. Last soft bounce date – date of the last soft bounce
  5. Hard bounces – the number of hard bounces for this email address
  6. Last hard bounce date – date of the last hard bounce
  7. Send Email Enabled – attribute of the contact that indicates if the email address has been marked as bad
  8. Disable / Enable – link to mark the email address as bad / good
  9. Delete – link to delete the record of bounces for this email address

The list sorts by the hard bounce count so that the email addresses with the greatest number of hard bounces show first.

  1. Select page – selects all records in the list
  2. Clear page – de-selects all records in the list
  3. Enable email addresses – marks the selected email addresses as good
  4. Disable email addresses – marks the selected email addresses as bad
  5. Delete bounce records – deletes the selected bounce records
  6. There is a search for a specific email address

The contact page now includes a checkbox field that indicates if an email address has been marked bad.  The user can mark the email address as good from this page.  Note that this field only displays if the email address has been marked bad.

A tutorial on using LeadMaster Lead Nurturing

It seems that some of our users aren’t taking advantage of the emarketing capabilities built into LeadMaster so I thought I’d provide some information on how to use Lead Nurturing

There are two ways to add contacts to a lead nurturing track, either individually or in groups.  Either way you’ll need to have a Lead Nurturing Track set up beforehand.

To add a group of contacts go to the search engine and select ‘Search Contacts’ (you can’t add contacts to a lead nurturing track from the Search Records results).  Enter your search criteria and select GO.  You’ll get your search results.  Then select ‘Attach to Lead Nurturing Track’ from the Options menu.

A window will open and you’ll be asked to select 1) The Lead Nurturing Track, 2) the start date and 3) whether you want just the records you’ve put a check mark next to or all the records in the search result.  After you make your selections click submit and your finished.  Those records will be added to a Lead Nurturing Track.

In this example we are sending customers an email after they’ve seen a demonstration.  But what happens if they decide to purchase our product.  We don’t want to keep sending them emails about the demonstration.  At that point we’ll want to start a new track about the various features of our product.  But before we start a new track we’ll want to pause the old track.  Just search for one or more people and select Pause Lead Nurturing Track from the options menu.  Again you’ll select the track you want paused and whether or not you want just the contacts with the checkmark next to their name or the entire search results.

You can also add an individual contact to a lead nurturing track.  You start by finding the contact either through the search engine, searching from the home page, using one of your personal shortcuts or by clicking on accounts or contacts and either searching or clicking on the letter for their name.  Clicking on the contact will open their record.  Select the contact you’d like to add to a lead nurturing track by clicking on their name.

This will open the contact information window where you’ll be able to add, pause or delete them to/from a lead nurturing track.

To see the results of your lead nurturing programs and monitor their progress select the lead nurturing report from the list of pre-defined reports.
