LeadMaster Announces Advanced Integration with CounterPath and InterFax

LeadMaster’s Partner Alliance Program adds phone and fax functionality through integration with third party platforms.

LeadMaster, a leader in sales lead management & marketing automation solutions, announces integrations with CounterPath and InterFax. The new LeadMaster integration with CounterPath’s Bria4 soft phone provides advanced VoIP dialing. The new LeadMaster integration with InterFax provides HIPAA compliant send fax capability.

CounterPath’s latest soft phone product allows LeadMaster users to dramatically improve productivity by simply clicking on a phone number to place a call. The Bria4 is a carrier grade soft phone providing the ability to make and receive phone calls and video calls over the Internet. It also supports instant messaging and file transfer. The Bria4 works on the Windows 7 and 8 operating systems as well as Mac platforms. When used in conjunction with the LeadMaster Smart Queue, this integrated solution provides tremendous efficiency for sales teams, improving both speed to connect and daily call volume. Configuring LeadMaster to support click-to-call with the Bria4 takes only a moment, simply enable click-to-call in LeadMaster, enter VoIP logon credentials into the soft phone and the configuration is complete.

The InterFax integration allows LeadMaster users to send and receive faxes from within the LeadMaster application. The InterFax integration works within the LeadMaster Connector Architecture. The connector architecture is a framework for integrating LeadMaster with third party applications through the built-in LeadMaster workflow function. To enable the send fax function in LeadMaster, the user enters their InterFax user name and password and selects a fax template in the workflow automation function. With the configuration complete, anytime the user wants to send a fax they simply select the checkbox or drop-down menu that activates the workflow. Users can configure different checkboxes to send different fax templates. Sending a fax in LeadMaster is as easy as clicking a checkbox.

These integrations are available today in the standard LeadMaster configuration.

If you have access to Administration and Logon Management you are now able to control the visibility of the Home Page Accordions and Top Banner Menu using convenient checkboxes.

The home page accordions provide access to the following areas:

  • Events / Callbacks
  • Lead Center
  • Saved Searches
  • Saved Reports & Charts
  • Recent Items
  • Tasks
  • Cases
  • Smart Queue

To give you additional control over what each user sees and has access to, each of these can be enabled / disabled for individual users.

The new main menu makes navigating to content and tools faster and simpler. The redesigned menu gives the user instant access to the most frequently used parts of the LeadMaster platform, providing one-click access to incoming leads, prospect nurturing, marketing automation and workflow management.

The enhanced dashboard area provides multiple real-time dashboards, making it easier to organize and prioritize charted information. To create a dashboard chart is now a simple menu selection. The dashboards work in combination with the new reports function. The new reports section contains a preview feature that displays what the report is going to look like, using the customer’s data. Customers have an easier time understanding the function of the report when they can see it in a preview. Customers can also subscribe to reports and have those reports emailed to them on a daily, week or monthly basis. The report subscriptions are a convenient way for management to keep up with what’s going on in the business.

The redesigned homepage has a quick search feature for quickly finding companies and contacts. The new software also has enhanced the left navigation that includes a ‘mouse-over’ preview of the user’s calendar and one-click access for scheduling appointments. The drop down menu for the Lead Center provides instant notification when new leads arrive in the system for a sales rep. LeadMaster now has the ability to notify users of incoming opportunities or other actionable items regardless of where they happen to be within the application. The My Searches section provides a list of saved searches for instant access to key information. The Recent Items section shows a list of the last 15 items that were worked on. The My Reports & Charts drop down menu shows a list of saved reports. The new user interface also contains user customizable skins. There are a variety of pre-configured skins that can be selected with a drop down menu in the user’s settings.

Email Marketing – Getting your emails to show up correctly in all email clients

While using LeadMaster’s built-in E-marketing some people have commented that the email doesn’t always look the same when viewed in different email clients, especially if the email included a lot of HTML.

The reason is that different email clients treat HTML differently.  This is especially true of Outlook.  Take a look at the charts below compiled by campaign monitor.  You’ll notice that of all the email clients listed below Outlook blocks the most.

To get your email to show correctly in most email clients use Tables instead of HTML <div> tags.  Some email clients, like Outlook, strip styles, positioning, background images, padding etc.

That Coffee is for Closers

If you’re in sales or marketing chances are you’ve seen the famous 1992 Alec Baldwin movie ‘Glengary Glen Ross’.  If you haven’t seen it you can find the famous ‘That Coffee is for Closers’ scene on YouTube.

This month’s cartoon from the Sales Lead Management Association reminded me of that movie.

These days there is so much more to managing leads than there was back in 1992.  In the movie the leads came in on 3×5 cards and were handed out at the sales meeting.  These days leads come in from the internet, email, phone calls, business reply cards, trade shows, virtual trade shows, etc.  Reps no longer have to wait days for the new leads.  Now we measure response time in minutes.  Today, if you can’t respond to an internet lead in less than 90 seconds there is something wrong with the way you are managing your sales leads.  Who knows, maybe someone will produce ‘Lead Management‘ the movie.

LeadMaster’s Duplicate Record Management Feature

“Find and Manage Duplicate Records” is a feature of the LeadMaster Lead Management/ CRM system that allows an administrator to find and manage duplicate records within LeadMaster.

Access privileges

Only those users with appropriate administrative privileges can access this feature.

To access the Find and Manage Duplicate Records link, authorized administrative users click on Administration in the top banner of the application and then click on the “Find and Manage Duplicate Records” hyperlink. This hyperlink displays the “Find and Manage Duplicate Records” page. From this page, LeadMaster has added the ability to find potential duplicate records based on:

1. Account Duplication

2. Contact Duplication

3. Campaign Duplication

Each of the three mentioned above has certain criteria to locate records based on different parameters, including Name (First Name/ Last name), Company, Email Address, etc.

Once Possible duplicate records are found based on their specific filtration, then LeadMaster manages those duplicate records by carrying out different operations such as Merge/Archive/Delete records, etc.

The user has three options for Duplication Record Management:

Below are the four different criteria for Account Duplication:

1)    Find and match possible duplicate records based on the name of the Company:

a)     Company

i)      Checks for duplication based upon the name of the Company

b)    Company and Contact Email Address

i)      Checks for duplication based upon the record having same Company name and Email address of the Primary contact.

c)     Company and Contact Last Name

i)      Checks for duplication based upon the record having same Company name and Last Name of the Primary contact.

d)    Company and Contact First and Last Name

i)      Checks for duplication based upon the record having same Company name and the First and Last Name of the Primary contact.

Below are the four different criteria for Contact Duplication:

2)    Find and match possible duplicate records based on the Last Name of the primary contact:

a)     Contact Last Name

i)      Checks for duplication based upon the record having same last name of the primary contact.

b)    Contact Last Name and Email Address

i)      Checks for duplication based upon the record having same last name and the same email address of the primary contact.

c)     Contact First and Last Name

i)      Checks for duplication based upon the record having same first and last name of the primary contact.

d)    Contact First and Last Name and Email Address

i)      Checks for duplication based upon the record having same first and last name and the email address of the primary contact.

Below are the four different criteria for Campaign Duplication.

3)    Find and match possible duplicate records based on the Campaign ID:

a)     Campaign ID and Email Address

i)      Checks for duplication based upon the record having the same Campaign and the email address of the primary contact.

b)    Campaign ID and Contact last Name

i)      Checks for duplication based upon the record having the same Campaign and the last name of the primary contact.

c)     Campaign ID and Contact First and Last Name

i)      Checks for duplication based upon the record having the same Campaign and the first and last name of the primary contact.

d)    Campaign ID and Contact Phone Number

i)      Checks for duplication based upon the record having the same Campaign and the primary contact phone number. When matching phone numbers, the system only considers the digits for the phone number because there is no regulation on the format of a phone number.  For example (999) 123-4567 is the same as 999-123 4567.

From the “Find and Manage Duplicate Records” page, select an option for finding duplicate records and click “Submit” to display the “Possible Duplicate Records” page.

This page lists the results from the Search. From this page, the following options are displayed:

  1. Click “Back to Record Selection” to display the “Find and Manage Duplicate Records” page.
  2. Click on one of the “(All), A-Z” links to filter the results.
  3. Enter the name of a company and click “Go” to filter the results by company name.
  4. Click on the “view” link for a record in the list to display the “Manage Duplicate Records” page, which lists the duplicate records.

From this page, the following options are displayed:

  1. Click “Back to Results” to display the “Possible Duplicate Records” page.
  2. Check one or more records in the list and click “Merge Records” to merge the selected records.
  3. Check one or more records in the list and click “Archive Record(s)” to archive the selected records.
  4. Check one or more records in the list and click “Delete Record(s)” to delete the selected records.

Archive, Delete and Merge options work like the same options available on the search results page. Each record includes a checkbox field to select the record.

The Merge Records function provides users the ability to merge information from two or more records into a single record.

Authorized users can merge records by clicking on the “Merge Records” hyperlink from the Search Results page.

From the Manage Duplicate Records page, select two or more records to merge and click on the “Merge Records” hyperlink to display the “Merge Records” popup dialog. From this dialog, select the target record for the merge. To mark a particular record, click in the box to the left of that record and a checkmark will appear in the box. Information for the other selected records (the “source” records) will be merged into the target record. The merging process follows the following steps:

  • Any attached files from the source record(s) are moved to the target record.
  • Contacts from the source record(s) are matched by using a combination of First name, Last name and / or Email address to the target record. Contacts that are not matched are copied to the target record. Any Sales rep comments from the associated source record are copied as “Contact Notes” for the copied contact.
  • Any source contact-related marketing activities are moved to the target record.
  • Any source contact-related Email log entries (i.e. Email History) are moved to target record.
  • Any source contact-related lead nurturing tracks are moved to target record.
  • Any opportunities, including opportunity products, attached files and custom forms, from the source record(s) are moved to the target record.
  • Any Quotes from the source record(s) are appended to the target record.
  • Any Cases from the source record(s) are ignored while merging.
  • Profile Summary, Profile Assignments, Background Information, Campaign Survey/ Responses, Custom Survey/Lead Feedback are also ignored for the target record.
  • Custom forms from the source record(s) are matched to the target record. Custom forms that are not matched are copied to the target record.
  • Any callbacks/ events from the source record(s) are moved to the target record.
  • Any call center stats recorded for the source record(s) are moved to the target record.
  • After the merge is complete, the source record(s) is (are) deleted.

New Feature – Tab Settings Maintained

LeadMaster allows you to decide which view you like best – everything on a single page or everything in tabs.  Naturally you’re able to turn individual sections and tabs off if you aren’t using them.  The tabs are available on the sales update page, edit profile page, view profile page, opportunities page, contacts page and quotes page.  When you select ‘view tabs’ it selects the tab view for all pages.  Many users requested that LeadMaster remember their preference permanently so the next time they login they see their preferred view.   I’m happy to announce that this request has been implemented and is immediately available for all users at no additional charge.
