New Feature – Google Calendar Sync & Repeating Events

LeadMaster users have a new feature available as of today – Google Calendar Synchronization and Repeating Events.

To enable the ‘Sync with Google Calendar’ option simply enter your Google calendar username and password on the ‘User Settings’ page.  Click on User settings from the main menu,  then click on Calendar and Callbacks, enter your information and click submit.  That’s it.  You are all set.  Now your LeadMaster calendar will sync with your Google calendar.  Could it be any easier?

As part of this upgrade there is a new way of entering the date and time for the callback event.  Our studies indicate this new interface is easier and faster to enter your callbacks and appointments, saving you time.  The new section is highlighted below with a black rectangle.

You’ll notice there’s a new checkbox to ‘Sync with Google Calendar’.  Once checked, this will remain checked until you un-check it for all of your new callbacks, events and appointments.

Events can be repeated

  • Daily, Weekly, Monthly, Yearly
  • On a specific day of the week
  • With a specific end date, after so many occurrences or never

This is a great productivity enhancement for me personally.  The Google calendar integration gives me the ability to sync my LeadMaster calendar with the calendar on my phone and on my desktop.

Best Practice for Modifying a LabelSet in LeadMaster

Current Situation: The Label Set being used for Jane’s Workgroup = Jane_WG_labelSet

Requested Action: Modifications to the labelset for testing or permanent modification.

Best Practice: The current Label Set “Jane_WG_labelSet” is NOT modified but brought up and a “SaveAs” is done under a new custom label set name of Jane_WG_labelSet_10_1_2010 (or Jane_WG_labelSet_v2).

Modifications are made to the “next version” labelSet, tested and either approved or rejected.

If approved then workgroup/users label sets are changed to the new “next version”.

Old versions can be maintained for a period of time then eventually deleted.

Result: The above process would eliminate the necessity for a restoration in the event of unrecoverable mistakes as well as providing a visual clue as to the progression of a custom label set.  It also helps to reduce the number of custom label sets with the same name.  Ideally, this will help to reduce your soft costs by lowering the instances of messing up a label set or selecting the wrong label set (due to duplicate names) and needing you to either figure out what has been done OR having to elevate the issue to Support.

LeadMaster Announces Workflow Enhancements for Lead Management & Sales CRM Software

The LeadMaster workflow management system allows users to set up business rules by defining the workflow through the use of a point-and-click interface. The first part of a workflow is to set the conditions under which the workflow is put in motion.  Following are some of the conditions available to trigger workflow automation.

  • A new contact, an existing record or both new and existing records
  • Campaign, Lead Status, Lead Source, Lead Value, Probability
  • Forecast Date, Marketing Mix, Custom Definitions and a variety of others

These conditions can be used in combination with each other.  For example, the condition might be a new record and specific campaign.

In turn, the second half of defining the workflow, after the conditions, is defining the events or actions that can be triggered; including setting up call backs and appointments, sending emails, updating fields, assigning records and attaching custom forms.

Here’s a typical scenario.  Suppose someone completes a registration form for a webinar.  Using LeadMaster’s point and click landing page mapping tool the data from that registration form will automatically flow into the LeadMaster sales CRM and lead management system.  At that point the workflow automation takes over.

Here are some of the actions that can take place via the workflow automation tool.

  • Immediately send the registrant an email confirming their registration and provide additional details about the webinar – date, time, instructions to join the webinar etc.
  • Add the registrant to a pre-webinar lead nurturing track.
  • Send yourself an email to let you know you have a new registration, including the identity of the registrant.
  • Set the lead source, the lead status and the campaign in the LeadMaster online lead management system.
  • Assign the record to an inside sales rep, a field sales rep, a marketing rep and all of their managers in LeadMaster.  You could also send all of them an email.
  • Add a callback for the next day to confirm their registration and see if they have any questions or would like to receive some information prior to the webinar.
  • Add a callback the day before the webinar to remind the registrant about the webinar.
  • Add a callback for the day after the webinar to ask the registrant if they have any questions or would like to discuss what they heard.
  • Switch the registrant to a post-webinar lead nurturing track.

Enhancements to Workflow Automation

Workflow automation is one of the great built-in features of LeadMaster – no plug-ins, no add-ons, no additional fees.  Since the workflow automation was introduced there have been many enchancements to the workflow automation tools (LeadMaster announces easy-to-use wizard interface for automation).

Here’s another set of enhancments that is available to all users.

Each workflow process now includes a designation of what the workflow process applies to: New records, Existing records or New and existing records.

You have the choice of applying workflow to 1) new records 2) existing records or 3) both new & existing records.

There is a new workflow action – Add to Lead Nurturing Track.  When a record is added to a lead nurturing track, either the primary contact or all contacts in the record can be added to the lead nurturing track.

Here’s an example of how you might use this.  Suppose that you have a registration page for a webinar.

  • Your first workflow action will be to immediately send the registrant an email confirming their registration and providing details of the webinar.
  • Your second workflow action might be to assign the record to the appropriate sales rep.
  • Your third workflow action would be to add a callback for the day after they register.
  • Your fourth workflow would be to add them to a lead nurturing track.
