New Feature – Drag & Drop for Workflow & Marketing Automation

The ordering of automations can be important.  If you have a long list of automations now you’ll find it easier to stay organized with drag & drop.  Just grab onto anywhere in the row of the automation, hold down the mouse button and drag it to the new location.  Let the mouse button go and your automation is now in the new location.

New Feature – Opportunity Workflow

LeadMaster’s workflow automation is a built-in function that provides a simple point & click environment to automate your business processes and automatically perform routine tasks.  Now automated workflows can happen when an opportunity is created or updated.

Some of the general functions for workflows include:

  • Alerts – An email, a text message or a telephone call from LeadMaster. Alerts are typically sent to someone in the sales or marketing organization.
  • Marketing Messages – Similar to an alert the marketing message can be an email, a text message or a telephone call from LeadMaster.
  • Field Updates – Workflow rules can update a variety of fields in the system to values of your choice whenever business actions trigger the rule.
  • Tasks – LeadMaster tasks are designed to mimic your business processes and are assigned to individuals in your organization. They have time limits and actions can be defined for either accomplishing the task on time or missing the deadline.  For example, you may want leads followed up within 20 minutes. You can create a task so that if the lead isn’t updated within 20 minutes it is reassigned to another sales rep.  Tasks can repeat until the criteria for satisfaction is achieved.
  • Workflow – Workflow can start another workflow.  The workflows are executed in order from the top of the page to the bottom of the page.

Start by giving the workflow process a name and deciding when the workflow should apply.  For Opportunities the 3 choices are:

  1. For new opportunities
  2. When updating existing opportunities
  3. For both new and whenever an existing opportunity is updated

Next, select the conditions under which this workflow will operate.  The are a variety of fields available…

and then select the conditions.  Conditions include things like greater than, less than, equals to, is not equal to, contains, was checked (for checkboxes) and was updated.

How can you tell when someone hasn’t opened an email in LeadMaster

LeadMaster has some great E-Marketing and marketing automation tools that make it easy for you to track who has opened and who has clicked on links in your email marketing.  For example, the reports available from the E-Marketing menu provide many options.

But how do you track emails that haven’t been opened?  You could click on the contact link in each record and examine the email history for each contact, but if you’ve got a large list it wouldn’t be very efficient.  To automate the process requires a couple of straightforward steps.

First mark all the records indicating they haven’t opened an email.  The easiest way to do this is to search for the records you want to track and use the option menu to update records.  For this example I’m using the marketing mix field, but any field that can be updated using ‘Update Records’ will work.

Next, you’ll want to create a workflow condition that says – if someone opens an email and they have a mark on their record that says they haven’t opened an email – then mark it that they have opened the email.

This will take a couple of steps.  First, create the workflow by clicking the ‘Add Workflow Process’.

Second, create the condition in workflow that checks to see if they opened an email.

Now you’ll want to mark the record saying they have opened an email.  Again you’ll use workflow and ‘update records’.

Now you are ready to send your email campaign.  After sending you can search on the marketing mix to see which records equal ‘Has Not Opened.

From here you can add them to a lead nurturing track, assign them to inside sales for follow-up, send them a direct mail piece etc.

New Feature – Workflow Automation and Custom Forms

LeadMaster Marketing Automation and Workflow Automation are tremendously powerful features that now include custom forms.

First, let’s review a sample automation (if you’re already familiar with workflow you can jump down to the paragraph that starts with Incorporating LeadMaster workflow into a custom form).

In the image below, the automation does the following when someone registers for a webinar:

  1. When a new registration comes into the system via landing page or web form it gets assigned a marketing campaign. In this example this happens through the Edit Profile fields on the custom form.  It could just as easily have been incorporated as a hidden field on the form and sent along with all the other registration information.   This automation is looking for new records associated with this campaign.  When the automation sees a new record for this campaign it goes to work.
  2. It adds the registrant to a lead nurturing track.  The lead nurturing track is defined elsewhere as far as the emails sent, the scheduled followup phone calls, timing etc.
  3. It assigns the record to a sales rep.  It could also assign the record to a rep via logic (zip code, lead value, product type etc.) or via round robin.
  4. It sends a text message to the assigned sales rep to let them know that someone has just registered for the webinar and they have 15 minutes to update the record or this registration will be reassigned to another rep.  In this case, the expectation is the rep would reach out to the registrant and would mark the record that they had done so which would be a ‘record update’.  This can be much more specific if desired.
  5. It sends an email to the person who registered for the webinar thanking them for registering – basically an autoresponder.
  6. It creates a LeadMaster ‘Task’ that watches the records lead status and it if hasn’t changed from ‘Have Not Reached’ in the next 15 minutes it will automatically reassign the record.  Some inside call teams that use LeadMaster have this set as low as 5 minutes.

Incorporating LeadMaster workflow into a custom form has two prerequisites:

  • One or more fields on the custom form needs to be mapped to a special interest field
  • The custom form must be attached to the record (inline forms don’t support workflow)
Workflow for custom forms works for both adding new records and updating existing records.

Let’s look at an example.  Suppose you’re doing a survey about pets and you want to initiate a lead nurturing track specific for the pet owner .  You’ll want to make sure they are assigned the correct pet lead nurturing track – you wouldn’t want a cat owner to get the dog owner emails.

First you setup the custom form with your survey question and have that mapped to a special interest field.

Then you create a workflow to add this person’s email to a lead nurturing track whenever the field ‘Pet Type’ contains Dog.

That’s all there is to creating workflows using custom form fields.  Now you can create workflows for virtually anything.  For example, suppose you are visiting a new doctor and you are filling out a healthcare survey on a LeadMaster custom form using a iPad.  If you selected diabetes as one of your conditions LeadMaster can automatically add you to an informational lead nurturing track, add scheduled callback reminders for the nursing staff and schedule regular checkups to see how you’re doing.  The possibilities are endless.

New Marketing Automation Functions for Email

Email marketing is huge.  There are several companies that have revenues of $100 million plus providing email marketing.  It seems everyone is doing it.  It’s cost effective and easy.  But does your Email marketing solution do the following?
